For a Qualified Custodian, your trust and privacy mean everything to us. That’s why we use advanced tools to protect your personal and sensitive documents—like wills, ID information, and financial details—from being accidentally shared, lost, or stolen.
One of our key tools is called Data Loss Prevention, or DLP. You don’t need to be tech-savvy to understand what it does. Here’s a simple breakdown:
What is Data Loss Prevention?
Think of DLP as a smart security guard that watches over your documents. It helps make sure:
- Private files don’t get shared outside by mistake
- Sensitive information like Social Security Numbers is kept private
- No one can download, print, or copy protected documents unless they have permission
How Does It Work?
We use automatic and manual protections to secure your documents.
1. Automatic Protection
At Van Demir, our software has rules (called Data Loss Policies). First, we scan every file in our system. If it spots something sensitive—like your SSN or a signed will—it automatically applies restrictions.
This might include:
- Blocking the ability to download or print the file
- Preventing someone from sharing it outside of our company
- Showing a warning if someone tries to share the file
This is especially helpful because it reduces human error. Even if someone forgets to protect a file, the system helps us lock down your file.
2. Manual Protection
We can also give specific documents a little extra attention. In those cases, our team can manually tag a file with a “confidential” or “sensitive” label. Once labeled, restrictions are automatically applied—just like with our automatic protection.
What Do These Labels Do?
These labels are like sticky notes that say: “Handle With Care.” Depending on the label, the system can:
- Stop anyone from sharing the file outside
- Block downloading, copying, or printing
- Show warnings if someone tries to move the file somewhere else
Our system is constantly monitoring to ensure no documents slip through the cracks.
A Quick Note About Accuracy
While our automated system is smart, no tool is perfect. That’s why we also do manual checks when needed. Our team has full control to label and protect files that might get missed, just to be safe.
Bottom Line
If you're trusting us to store and protect something as important as your e-will, we owe it to you to use the best tools available. With our DLP system in place, we’re doing everything we can to make sure your private documents stay exactly that—private.
If you ever have questions about how your information is protected, we’re always happy to talk.
